What an email rewrite has to get right

Three things, using the words from the example above.

  • The ask to arrive earlyA reader decides in the first line whether this needs them. In the example below, "I am writing to request that you provide the revised figures" became "please send the revised Q3 forecast figures" and moved to the front of the sentence.
  • Fewer words for the same request65 words became 43 without losing a single term of the request. "At your earliest convenience" became "as soon as possible"; "it would be appreciated if these could be furnished" became "it would help if you could provide them".

Sending the first rewrite without reading it

Letting it flatten a difficult message

An apology, a complaint or a refusal carries a tone on purpose. Rewriting it plainer can make it read as indifferent — check that the message still sounds like someone who means it.

Rewriting the parts that are doing work

"Please" and "thank you" are not padding. "I am writing to inform you that" is. The rewrite should know the difference, and you should check that it did.

Pasting a whole thread
